What we take responsibility for.

Managed IT from Covaleon is one service built on four responsibilities. Here’s what each one means for your business, and what sits underneath it.

Standardize

Build technology on a consistent foundation.

Everyone works from the same playbook.

Every computer, account, and network is set up the same way, documented, and managed from one place. Everyone works from the same playbook.

New hires are ready on day one

Accounts, licenses, devices, and access are created from a checklist and automated where possible. When someone leaves, their access is removed the same way, every time.

Every computer behaves the same

Workstations get the same configuration, the same software, and the same update schedule. Problems are easier to spot and faster to fix because there are fewer surprises.

Nothing lives only in someone’s head

Your network, accounts, vendors, and procedures are documented. If a question comes up, we can answer it without guessing.

What’s included in standardize

Devices

  • Workstation configuration baselines
  • Device management (MDM) for laptops, desktops, and mobile devices
  • Software deployment and standard application sets
  • Operating system and third-party patch management
  • Remote monitoring and management (RMM)

Accounts and cloud

  • Microsoft 365 tenant configuration
  • Google Workspace configuration
  • Identity and access management
  • Administrative access standards
  • License management

Network and records

  • Network standards for firewalls, switches, and wireless
  • Asset inventory and lifecycle tracking
  • Environment documentation and runbooks
  • Automated employee onboarding
  • Automated employee offboarding

Protect

Protect the systems and information your business depends on.

Security is part of responsible IT management.

Security is built into how we manage your technology, not sold as an add-on. Devices, accounts, email, and data are monitored, backed up, and recoverable.

Someone is watching, all the time

Your devices and cloud accounts are monitored around the clock by a security operations team. Suspicious activity is investigated and contained, and we tell you what happened in plain language.

Accounts are hard to misuse

Multi-factor authentication, sensible access rules, and email filtering close the most common ways small businesses get compromised.

You can recover when something goes wrong

Workstations, servers, and cloud data are backed up and restore-tested. If a file, a laptop, or a mailbox is lost, there is a plan to get it back.

What’s included in protect

Monitoring and response

  • Managed endpoint security (EDR)
  • 24/7 managed extended detection and response (MXDR)
  • Security Operations Center (SOC) monitoring
  • Microsoft 365 security monitoring
  • Google Workspace security monitoring

Identity and email

  • Multi-factor authentication (MFA)
  • Identity protection and conditional access
  • Email filtering and impersonation protection
  • Vulnerability management

Backup and people

  • Workstation backups
  • Server backups
  • Cloud workload backups (Microsoft 365 / Google Workspace)
  • Recovery planning and restore testing
  • Security awareness education

Support

Give your people knowledgeable help when they need it.

Solve the problem. Explain it clearly.

Your team can reach real technicians who explain what happened and fix the underlying problem. Remote help for most things, local onsite help when it matters.

Asking for help is easy

Call, email, or use the support portal. Nobody should feel like they are bothering us, and nobody needs to know the right technical words to describe a problem.

Problems get fixed at the root

Closing a ticket is not the goal. If the same issue keeps coming back, we find out why and fix that instead.

One call instead of five

Printer company, internet provider, line-of-business software vendor: we coordinate with them so you do not have to sit on hold.

What’s included in support

Everyday help

  • Help desk by phone, email, and portal
  • Remote support
  • Local onsite assistance in the North Valley
  • Account and access assistance

Applications and devices

  • Microsoft 365 support
  • Google Workspace support
  • Application troubleshooting
  • Device troubleshooting

Beyond the help desk

  • Vendor coordination
  • Escalation to senior engineers
  • Advanced technical support and root-cause analysis

Optimize

Make technology simpler and more useful over time.

Use what works. Remove what doesn’t. Improve what matters.

We look for what to remove as often as what to add. That includes helping your team use AI responsibly, where it actually helps.

Fewer tools doing more

We review what you pay for and what you actually use. Overlapping services get consolidated, unused licenses get cut, and existing platforms get used properly before anything new is bought.

Planning instead of surprises

Hardware, software, and licensing are tracked with replacement timelines, so budgets are predictable and nothing ages out unnoticed.

AI that earns its place

We help your team understand AI tools, set sensible policies, protect sensitive information, and find the few places where AI saves real time. If it does not make the work safer, easier, faster, or better, we will say so.

What’s included in optimize

Simplify

  • Removing redundant software
  • Eliminating overlapping services
  • Simplifying workflows
  • Improving existing technology before replacing it

Automate and plan

  • Automating repetitive IT processes
  • Improving onboarding and offboarding
  • Technology lifecycle planning
  • Budget and roadmap reviews

AI, responsibly

  • AI education for employees
  • AI policy guidance and responsible use
  • Prompting education
  • Identifying practical AI use cases
  • Evaluating AI tools and reducing unnecessary AI subscriptions

Two plans. One standard.

Both plans include the same managed technology standard and the same security. The only difference is how project work is funded.

Managed IT

Everything required for ongoing technology management.

The full Covaleon standard: Standardize, Protect, Support, and Optimize. Projects, like an office move or a server replacement, are scoped and quoted separately when they come up.

Project work
Projects scoped and billed separately
A good fit when
Businesses that prefer to approve and budget for projects one at a time.

Managed IT + Projects

The same managed standard, with planned project work built in.

Everything in Managed IT, plus eligible planned project labor incorporated into your recurring agreement under defined project guidelines. Fewer separate quotes, steadier budgeting.

Project work
Eligible planned project labor included
A good fit when
Businesses that want predictable monthly costs and a steady improvement roadmap.

Included in both plans

  • The full Covaleon technology standard
  • 24/7 security monitoring and response
  • Backup and recovery
  • Help desk, remote, and local onsite support
  • Ongoing optimization and AI guidance
Find the Right Fit

We’ll recommend one after we understand your business. There is no lower security tier.

What counts as a project?

Day-to-day management, support, security, and optimization are part of your agreement on either plan. Projects are planned changes with a beginning and an end. On Managed IT they’re quoted individually. On Managed IT + Projects, eligible planned project labor is already part of your agreement, based on defined project guidelines.

  • Office moves and new locations
  • Microsoft 365 or Google Workspace migrations
  • Server retirement or replacement
  • Network and wireless upgrades
  • Hardware refresh cycles
  • New line-of-business software rollouts

How getting started works.

  1. Step 1

    A conversation

We learn how your business runs, what’s working, and what isn’t. No checklist interrogation.

  2. Step 2

    An assessment

We review your devices, accounts, network, security, and vendors, and tell you plainly what we find.

  3. Step 3

    A clear proposal

What we recommend, why, the plan that fits, and what it costs. Any work needed to reach the standard is listed separately.

  4. Step 4

    Onboarding to the standard

We document everything, bring your environment up to standard, and introduce your team to how support works.

Let’s talk about your technology.

Tell us a little about your business. We’ll talk through how things work today and whether we’re the right fit. No pressure, and no 25-question form.
